Last updated: April 19, 2026

1. Overview

PropVault ("PropVault," "we," "us," or "our") provides a platform for creating, managing, and sharing property-bound records ("Vaults").

This Privacy Policy explains what information we collect, how we use it, how we protect it, and your rights and choices.

By using PropVault, you agree to this policy. For security practices, see our Security page and Trust Center.

2. Information We Collect

When you use PropVault, you may provide:

  • Property-related information (addresses, records, documents)
  • Uploaded content (receipts, permits, reports, images, contracts, and similar materials)
  • Communications with us

2.2 Information from use

We collect basic usage data to operate and improve the service:

  • Log data (for example IP address, browser, device type)
  • Activity within the platform (Vault actions, uploads, sharing events, and related events)

2.3 Information from third parties

Where applicable, we may receive:

  • Identity verification results
  • E-signature confirmations
  • Payment processing confirmations

We only collect what is necessary for the specific workflow.

3. How We Use Information

We use your information to:

  • Operate and maintain the platform
  • Create and manage Vaults
  • Enable controlled sharing and access
  • Support identity verification and transaction workflows
  • Improve product performance and reliability
  • Communicate with you about the service

We do not sell personal information.

4. Property Records and Ownership

Vaults are designed to be property-bound records.

  • Content you upload remains under your control as described in our Terms
  • When a Vault transfers, control may pass to a new user
  • The record itself may persist as part of the property history

PropVault does not independently verify ownership of properties or the accuracy of user-provided content. See also our Terms of Service.

5. Sharing and Access Control

Vault access is controlled by the user who manages the property record.

  • You decide who can access your Vault
  • Access may be gated by identity verification or NDA
  • Shared data is visible only within the permissions you grant

You are responsible for how and with whom you share information.

6. Data Protection

We implement safeguards designed to protect your information, including:

  • Encryption in transit (TLS)
  • Encryption at rest
  • Private storage for uploaded files
  • Access controls enforced at the application and database level

No system is completely secure, but we follow industry-standard practices. For more detail, see Security.

7. Data Retention

We retain information:

  • As long as your account is active
  • As needed to provide the service
  • As required for legal or operational purposes

Property records may persist as part of a Vault's history, even if control changes.

8. Third-Party Services

We use trusted providers for capabilities such as:

  • Authentication
  • Payments
  • Identity verification
  • E-signatures

These providers operate under their own privacy policies. We share only the information necessary for each service.
